Choose your direction
For every direction we describe what the system can do and give examples.
Records management, citizen appeals, digital signature, information security and administrative services centres.
Approval of requests, your own document types without programming, an electronic archive and mail in one place.
The office of a university, college or lyceum and practical training of students in work with document management systems.
EDMS for government bodies
For a government organisation it is important to cover all the procedures of records management and the documenting of processes.
Document management in government bodies
This is a large organisation (about 100 users or more) with classical records management: registration and control cards, incoming mail, outgoing correspondence, internal memos and administrative documents, citizen appeals and execution control.
Requirements for document management systems
Reliable identification and authentication, digital signature, a secure communication protocol, integration with Active Directory, fine tuning of rights and delegation.
Speed that hardly depends on the number of documents, powerful search, a built-in mail server, archiving and backup.
Document types and routes, drafts and versioning, tasks for employees, control and citizen appeal departments, history and statistics.
Hardware requirements and DBMS, the total cost of ownership: server, seats, digital signature, training, implementation and annual support.
"Quick start" guides, full documentation, videos, phone and remote administration, and regular updates with a change log.
What FossDoc does for an institution
Typical tasks of public authorities that the system automates.
Example: an incoming letter is registered in a registration and control card, the manager adds a resolution, the performers get a task with a deadline and the control department sees who is overdue.
Example: an appeal is registered and passed to a department for consideration, the reply is prepared along the approval route and the reports show the consideration terms.
Example: an order is signed with a digital signature, and the integrity and authenticity of the document are checked when it is opened.
Example: while the manager is on leave the deputy performs the duties, and the access rights remain under the control of the administrator.
Example: the electronic cards of persons and the reports of the centre are kept in a separate module that works as a stand-alone solution or as a part of the system.

Business and FossDoc
The FossDoc document management system is used by commercial banks and by the National Bank of Ukraine.
How it works in banks
The National Bank of Ukraine works with a custom solution built for the work processes of the bank. Work with user requests and internal memos is automated: a user creates a request document and sends it along a template route for approval; if the authorised persons agree, the route goes through to the end and its final point sends a special letter to another system. Templates let documents be generated automatically.
Commercial banks usually use many document types that they create themselves or with our help. The document libraries let the administrator add fields and the existing functions (routing, history, correspondence) to any of their own documents without programming. FossDoc can therefore be used, for example, to process loan applications and other banking documents.
Why FossDoc
Implementation makes you work out the processes in detail. Employees work in a single environment, and the manager always knows where to look for important documents.
The price of a standard package is easy to calculate, and the terms of technical support give updates and work with new versions.
If you need a function that FossDoc does not have, we will write a technical specification and name the price of the development.
The server grants access rights to the folders with documents. The client talks to the server only through a special API without a direct connection to the database; the communication channel is protected with SSL.
What FossDoc does for business
Typical tasks that companies and banks solve in the system.
Example: an employee creates a request, the system takes it along the approval route to the authorised persons, and after the last approval the final point passes the data to another system.
Example: a loan application. The administrator adds fields, a route, history and correspondence without programming and prepares the print template in Microsoft Word.
Example: registering a letter from a counterparty, tasks for the performers with a deadline and control of execution with the resolutions of the manager.
Example: signing a document with a digital signature, access rights to folders by departments and integration with Active Directory.
Example: correspondence with clients in the built-in mail and an electronic document archive with search instead of paper folders.
EDMS for educational institutions
FossDoc is used by educational institutions in Ukraine both to automate internal management processes and in teaching to train students.
Automation of the work of the institution
The office and management of a university, college or lyceum.
Incoming and outgoing letters, orders of the rector or director, instructions and internal memos. Example: an order on enrolment is registered, approved along a route and goes to the electronic archive.
Tasks for teachers and department staff with deadlines. Example: an instruction to prepare a department report; the manager sees who has done it and who is late.
Records and consideration of the applications of applicants, students and their parents. Example: an application goes to the relevant department and the reply is prepared along the approval route.
Signing documents with a qualified electronic signature with verification when they are opened.
Use in teaching
Practice for students of the departments of records management, information technology and management.
Example of a laboratory work: a student creates a document type, builds an approval route and signs a document with a digital signature.
A demo version is available to get to know the system; it lets you learn the basic principles of building an EDMS.
The step-by-step "Quick start" guides, the full documentation and the videos make it easier to prepare laboratory and practical work.
